Privacy Notice

When you provide your personal details to Elena Gerasimova they are stored and processed according to the General Data Protection Regulation law.

Why do you keep personal information?

Obtaining personal information from the patient in respect of their contact details, their personal and family health histories, and their lifestyle choices are necessary in order to provide advice and guidance. Financial information is necessary in order to process payments for the services provided. All personal information is processed lawfully, fairly and in a transparent manner. Personal data is held at my practice with the express consent of the patient. My lawful basis for processing personal information is legitimate interests. Information is collected: via a questionnaire completed by the patient; during a personal consultation; via email; via a website; over the telephone or by post; by taking card and online payments. Elena Gerasimova is a data processor and controller for the personal data it processes. 


What information is held?

The personal information held contains the following information:

Contact details: name, address, date of birth, telephone number, mobile telephone number, email address, and the preferred method of contact.

Health Information: personal and family health history, lifestyle and social circumstances, physical and mental health details, GP contact details.

Financial details: invoices for services provided, payments made and any outstanding debts.  Copies of credit card receipts are kept for accounting records.

Other information: employment details, referrals and appointment records.

Diagnostic information: diagnosis of the condition and recommended treatments will be recorded. 

What form does the information have and is it secure?

Personal data is held at my practice in a variety of forms:

  1. Paper files are held containing personal details.

  2. I may make notes using a laptop, with the data being stored in the cloud.

  3. Online: personal information is held on digital software programmes for diary/calendar, invoicing and accountancy processing.

  4. Information may be held in email format, provided by the client and held within the online emailing system.

  5. Website: Contact details and financial payment information is obtained via my website for making appointments. The payment is processed via card payment or Paypal.

All online and cloud storage of data is encrypted and protected by logins and passwords. My paper files are stored in a locked house/office.  All of my external data processors that support me (such as Paypal) are legally and contractually bound to operate and prove security arrangements are in place to protect personal information. 

How long is information kept?

I have a legal obligation to retain your records for 7 years after your most recent appointment. After this time your records will be destroyed in a method compliant with GDPR.

Who do you share data with?

I will never share your data with anyone who does not need access without your written consent. Only the following people will have routine access to your data:

None of the information is shared with other organisations except:

  • Contact details will be provided to suppliers of products that the patient wishes us to order on their behalf.

What are your rights?

You have the right to see what personal data of yours I hold and you can also ask me to correct any factual errors. Provided the legal minimum period has elapsed you may also ask me to erase your records.

I want you to be absolutely confident that I am treating your personal data responsibly and following the GDPR regulation. If you feel that I am mishandling your personal data in some way, you have the right to complain. Complaints need to be sent to the “Data Controller”. Here are the details you will need for contact:
